To oversee the effective delivery of the UK Property Management utilities and carbon management programmes, in conjunction with the wider sustainability team, Director of Business Services and the wider UK Real Estate business.
Monitoring of energy services’ consultants
Act as primary operational liaison with preferred energy services’ consultants
Assist in the resolution critical issues (e.g. non-compliant sites – failure to provide CoTs, LOAs missing, clear debts, provide meter reads. disconnections etc.)
Monitor energy broker/consultants outputs against agreed KPIs and report non-conformance and root causes to management
Energy Procurement and Bureau Services (in conjunction with energy services’ consultants
Ensure the maintenance of a complete database of all the utility supplies across the managed portfolio and within corporate offices
Ensure all contracts are maintained and tendered, providing assistance where additional input from PMs and FMs is required (i.e. credit histories, meter reads etc.)
Ensure Letters of Authorities, and Change of Tenancies processes are adhered to, producing monthly reports highlighting failures.
Act as centre of excellence for the invoice validation and uploading to P2P system.
Support development of annual energy budget and ongoing tracking, analysing and reporting.
Energy management & reporting
Manage the energy/water database to ensure data is accurate and gaps addressed
Compile data for reporting of performance to external landlord and occupier clients and internal colleagues.
Assist in the development of new global tools to visualize and report (internally and externally) a range of energy and sustainability data, including utilizing advanced Excel skills and coordinating with network and IT teams to develop automated solutions.
Produce reports for league tables and benchmarking of portfolios against standard energy indices and sector benchmarks (e.g. REEB)
Produce high level energy reporting packs for key sites
Provide guidance and training to FM personnel to interpret and act on their reports and review online data from the energy platform.
Support energy services’ consultants with data requests and information (e.g. Carbon Intelligence, ETS etc.)
Support tenders/RFIs for sub-metering and energy management services
Help develop standard templates/specifications for metering, energy audits and data analytic platforms.
Maintain records of Meter Verification Surveys, Basic Utility Surveys, energy audit and apportionments reports completed by energy services consultants (at the moment these disappear into the ether with people saving them anywhere).
Utility reporting(in conjunction with energy services’ consultants)
Monitor the processes for producing apportionments, LOAs, Change of Tenancies, invoice validation and report non conformities and failures to management
Provide management reports on apportionments (completed, delayed and failed with reason for failure identified)
Assist with the drive to ensure all sites are paid on account and not in arears
Assist with the management of debt and produce reports to management highlighting key accounts of concern
Help develop and continually improve internal utility processes (Apportionments, LOAs, Change of Tenancies, invoice validation etc.) with wider business teams as required.
Some post-qualification real estate sector knowledge/experience
Membership of relevant professional body preferred
A broad understanding of utility matters, including taxes and levies, budgeting, monitoring/tartgeting etc.
A good understanding of utility charging mechanisms
Understanding of utility billing, systems and processes
A broad understanding of electricity and water regulations, taxes, and licensing regimes
Commercial awareness and the ability to interact and work with a wide stakeholder groups, including customers and internal stakeholders, to resolve issues
Good MS Excel and analytical skills, to help interpret data and trends
