JOB PURPOSE
To provide high-level support to the Academic Director of the Humanitarian Engineering programme suite, a partnership between four Faculties within University of Warwick. To work closely with the Academic Director to plan, facilitate and monitor the strategic development and operational management of the Humanitarian Engineering programmes. To support the development of innovative teaching and learning initiatives through the work within IATL.
DUTIES AND RESPONSIBILITIES
Programme Management
• To lead on the effective delivery of the Masters Humanitarian Engineering programme suite ensuring it meets the standards defined by the School, in line with the University's strategy.
• To support the Academic Director including;
o Keeping up to date with University policy and ensuring changes are communicated and embedded into local practise.
o Providing strategic advice and guidance relating to School and University policy and how this impacts programme level decisions.
o Assessing the impact of programme level decisions on processes and practices, ensuring that decisions made can be enacted and leading on changes needed.
o Attending relevant committees within the School, acting as secretary where required, and communicating information to and from these committees as necessary.
o Sitting on working groups as required.
• To optimise the student experience by ensuring the effective administration and coordination of the Humanitarian Engineering programme. Managing the smooth running (and where necessary the development and improvement) of the programme's systems, processes and procedures for academic activities, particularly where a level of co-ordination between departments is required. This includes;
o Development and monitoring of systems for supporting good academic practice.
o Quality assurance, for example ensuring systems relating to module and course approval are rigorous and in line with University requirements;
o Development and monitoring of systems for attendance monitoring.
o Developing and maintaining records (e.g. module forms) to support quick and effective changes and updates and to support compiling of information for audits and accreditation
• Identify opportunities to improve the delivery of academic activities and student services, including evaluating data from academic administration activities and using the analysis to inform policy and systems development.
• Provide management information for the use of the School of Engineering. Examples might include analysis of trends in collected data on modules and students, and identifying possible changes to policy, procedure or regulations.
• Provide administrative leadership, advising academics on School procedures and University regulations, and escalating underlying issues or recommendations for policy changes to the Senior Management Team.
• Provide guidance on complex enquiries relating to student progress, for example, authorised absence, change of study location, temporary or permanent withdrawal, and to escalate underlying issues or recommendations for policy changes to the Academic Director.
• To organise and coordinate external services associated with the delivery of the programme (e.g. external speakers, booking accommodation).
• To lead the coordination of teaching on the programme including managing the timetable and scheduling of all modules.
• Plan, organise and manage the delivery of programme events (e.g. induction events, residential study weeks, external guest speaker sessions) and support and participate in other events as required (e.g. student recruitment events, and graduation).
• To act as the Admissions Officer for the Programme, developing and implementing effective admissions strategies, making selection decisions on new student applications and discussing applications that do not meet the selection criteria with the Academic Director.
• To draw up contracts for tutors delivering courses in conjunction with HR / STP.
• To work effectively with teams and departments across the School and University in order to achieve the effective delivery of the programme.
Finance and contracts
• To manage the budget for the Humanitarian Engineering Programme.
• To oversee the processes for payment to internal and external providers as required.
• To manage the IATL budgets related to projects
Communication
• To act as the Central point of contact for the Humanitarian Engineering Programme.
• To provide practical and pastoral support to applicants, students and alumni (e.g. ill health, advice on how to engage with formal procedures such as applying for assessment extensions, temporary withdrawal) and identify matters that are more complex or require academic or professional support (e.g. to Course Director, Assistant Dean, Personal Tutor or University Student Support Services).
• To develop excellent working relationships with corporate stakeholders and external contributors.
• To effectively communicate with departments, administrative teams and others across the University as required.
Strategy Development
• To develop and implement strategies in support of IATL's priorities in interdisciplinary pedagogy and in pursuit of continued success in developing and evaluating interdisciplinary provision.
Academic Projects and Project Evaluation
• To contribute to the development of interdisciplinary courses (particularly at postgraduate level) with academic colleagues across University. The academics being responsible for curriculum development and the postholder being responsible for design, overall coherence of programme and attractiveness to market on basis of competitor analysis and knowledge of market, as well as obtaining approval of course content and accreditation in sufficient time to recruit participants.
• To liaise with tutors delivering interdisciplinary modules and courses for IATL.
• To develop and implement a marketing plans that will support the strategic plan to increase student numbers on the programme and make interdisciplinary courses viable. This will include consideration of target markets, management of market research, identifying and successfully implementing channels to reach the target market and creating a comprehensive relationship marketing plan to convert interest into applications and applications into acceptances.
• To evaluate IATL's academic projects on a regular basis including seeking feedback from participants and stakeholders and evaluating the effectiveness of marketing and recruitment activities.
• To undertake follow-up work arising from IATL projects, ensuring an analysis is undertaken of the outcomes and impact and ensuring that learning points are fed into future projects.
In collaboration with IATL's academic staff, write and present findings related to IATL's academic projects and the scholarship of interdisciplinary teaching and learning at relevant University of Warwick showcase events and at external conferences.
Line Management
• To line manage IATL's Interdisciplinary Modules Officer, to contribute to the management and implementation of personnel procedures and policies for the appointment, development and support of professional services staff and to assist in the development of long-term HR strategies to meet the IATL's objectives.
Team Working
• To work with a variety of stakeholders to ensure that that the University is responsive to changing demand and captures opportunities in a rapidly changing environment.
• To work effectively with colleagues to ensure that relevant administrative, commercial and academic departments contribute seamlessly to the outstanding delivery of the IATL projects.
• To contribute effectively as a team leader to deliver defined strategic objectives and IATL events.
Administration and Other Activities
1. To contribute to School of Engineering and IATL committees and administrative duties and tasks.
2. Work within budget constraints.
3. To ensure compliance with Health and Safety, and other University regulations and good working practices in all aspects of work.
