The key role of the Global Event Planner is to help manage and facilitate all aspects of meeting planning from site selection, vendor negotiation, event registration, pre-event communication/key messages, onsite staffing and post-event reporting and financial reconciliation. This role will work on annual Global sales conference plus multiple US-regional meetings, large-scale conferences and events for a variety of internal clients simultaneously. The Global Event Planner will need to have an overall understanding of each meeting’s focus and strategic content and plan accordingly. This role will help support other team members including the Customer Experience manager in executing all various events and experiences.. The Global Event Planner will partner closely with internal clients to help manage meeting priorities and high demand requests MAJOR ACCOUNTABILITIES: Manage event planning registration system. Be a systems expert and effectively train other meetings planners. Create, coordinate and send event marketing communications via email, web, and print to all levels in the organization. Assist in conducting pre, post and during event evaluations/surveys and report on outcomes. Manage and track ad hoc meetings and invitational events including requests, room allocations, invites, responses, F&B, etc. Coordinate agenda with internal teams and outside partners. Publish main group arrival info and communicate any changes and updated information to hotel departments. Coordinate travel details, lodging and F&B expenses for all attendees globally. Work directly with registrants on problems and inquiries. Hotel Specific Requirements: Monitor and manage room blocks according to contract utilizing group history reports and information given by clients to maximize hotel revenue, making adjustments as necessary. Review sales contracts as well as other important information, i.e., room block, cut-off date, special concessions and attrition clauses and validate with client via turnover letter. Secure legal approval and executive signature. Monitor and enforce program deadline dates and work with clients to release meeting space not needed to maximize hotel revenues. Accurately forecast group rooms and group food and beverage revenues for assigned groups and affiliate business within a 5% variance. Participate in site visits and plan meetings for upcoming groups and potential affiliate business. Participate in Pre/Post Convention meetings and review bill with client. KEY CUSTOMERS Meeting attendees from around the globe External customers include hotels and other conference sites MEASURES OF SUCCESS Successful events with all details planned for and managed Positive feedback from internal and external customers about approach to managing events. REPORTING STRUCTURE Reports to Customer Experience Manager REQUIREMENTS FOR SUCCESS 5 years or more of experience identifying, soliciting, negotiating and managing hotels through execution (accommodations + meeting rooms). Extensive knowledge of event food and beverage products, menu selection process, and pricing. Excellent computer skills, including but not limited to, accounting programs, Microsoft Word, Excel and event planning/registration systems. Good communication skills, both verbal and written. Exceptional organizational and attention to details. Strong coordination skills, managing multiply meetings and schedules at a time. Proactive, attentive and very responsive. Committed to client satisfaction. Works well with others, able to effectively manage relationships with all levels of associates and finds positive solutions for all parties involved. Able to train others on planning systems and process.
