1. POSITION DESCRIPTION
The Executive Assistant will support the Vice President of Sales - EMEIA and Head of HR for Global GEO as well as co-ordinate activities and facilitate events. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting senior positions whilst working with diverse people and programs in a fast-paced environment, sometimes under pressure whilst handling work of a confidential or sensitive nature. They will handle a wide range of tasks and activities and need to work independently with little or no supervision. The highest levels of professionalism and confidentiality are crucial as well as expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

2. DUTIES AND RESPONSIBILITIES
The duties and responsibilities of this position include, but are not limited to all administration to support the Vice President of Sales - EMEIA and Head of HR for Global GEO:
Day to day support with diary management, organizing meetings and agenda’s, minuting meetings as well as collating and distributing relevant materials pre and post meeting. This includes Meetings across EMEIA
Email management – managing delegated actions, activities, deadlines and reminders.
Organization of end to end travel requirements, including visas when required.
Organization of Events across EMEIA, including budget management, responsibility for ordering goods and services, monitoring expenditure, processing and coding of invoices, completing financial report post event and making appropriate budget recommendations.
To oversee coordination and collation of scheduled reports for both Sales and HR, as well as to assemble, analyse and summarize data and present in appropriate formats. Review and summarize reports and documents; prepare draft documents and presentations.
Support multiple large projects and manage small projects simultaneously. Oversee projects and follow through on issues in a timely manner, including managing all delegated actions, deadlines and reminders.
Managing actions list, following up with owners, driving to close.
Budget management and analysis within Sales and HR to be reviewed on a regular basis.
Support in scheduling Talent Management activities including appraisals, goal setting, 360 feedback and engagement conversations.
Manage and filter a variety of incoming enquiries.
Travel will be required to support certain events and meetings throughout the year.
Organizational and planning skills with the initiative, resourcefulness and flexibility to proactively respond to change, often at short notice.
Excellent Communications skills especially working with customers and colleagues in an international community.
Managing a diverse workload, prioritizing activities and tracking progress on all tasks.
Flexibility and a willingness to undertake varied responsibilities.
Information gathering and information monitoring skills.
Strong knowledge of MS Office management systems.
Ability to work independently and show good judgment and decision-making, initiative, attention to detail and accuracy.
Experience supporting senior leadership roles in Sales, Marketing, Operations or HR.
Experience creating and/or improving processes.
Experience scheduling complex and flexible international travel
Exceptional time management, organisational and project management skills are imperative for the role.
Required: Excellent communication skills across different cultures and management levels
Required: Strong Microsoft Office skills including advanced Excel and Pivot Table knowledge
