Business Area/Dept Overview
Business Support Services is split between soft services and hard services. This role sits under the Head of Business Support – Soft Services who is responsible for delivering a high quality seamless service across the following areas reception, switchboard, conference bookings to all functions/businesses, client dining, mail room and gym.
Purpose & Scope of role
Assist the CIB H&S Manager to ensure that the business meets relevant Health & Safety legislation.
CIB and BP2S (London, Glasgow & Dundee,
Asset Management & Real Estate staff based at 5AS
Key Responsibilities of role
•Act as the Designated, Lead Competent Person for the target population
•Amalgamate existing policies, procedures and other documentation to ensure that they are fit for purpose and applicable to all entities.
•Act as organiser and Secretary of the six monthly 5AS Health & Safety Committee meetings.
•Arrange monthly meetings with the H&S Co-ordinator to ensure all H&S administration for your remit is up-to-date.
•Chair monthly meeting with all onsite contractors to discuss health & safety issues.
•Carry out internal audits of onsite contractor processes and procedures as directed by the H&S Manager.
•Deliver training/awareness sessions on various H&S topics as directed by the H&S Manager.
•Liaise regularly with the H&S Co-ordinator to ensure your trackers and spreadsheets are accurate with the most up-to-date information.
•Attend the UK H&S Working Group, a forum which includes all the UK entities.
•Manage and improve the online Display Screen Equipment (DSE) & induction process for the population under your remit.
•Support the DSE Assessor with escalation queries on procedures.
•Prepare H&S dashboards for BP2S & 5 Aldermanbury Square for the H&S Steering Committee meeting held every 3 months.
•Prepare an annual H&S report for BP2S.
•Ensure that induction and site-specific briefings are implemented by Service Providers for their staff or third party workers they bring on site where required e.g. building familiarisation, emergency procedures etc.
•Provide guidance to managers regarding contractor risk assessments and method statements, and work with managers in both BSS and IT to bring about safer vendor management processes.
•Liaise regularly with the Facility Managers for the sites you manage.
•Ensure there are sufficient number of first aiders/fire marshals across all the sites that fall under your remit.
•Manage building evacuations at 5 Aldermanbury Square including sending BCM messages to key stakeholders.
•Ensure building evacuations are carried out and reports completed for the Scottish sites.
•Review RAMS for small BNP Paribas projects.
•Review/write risk assessments for both internal/external events for entities under your control and as directed by the H&S Manager.
•Record, report and carry out investigations into accidents and near misses (where required) and implement resultant process improvement initiatives to ensure the minimisation of recurrences for the City Office and for all BP2S sites (London, Glasgow & Dundee).
•Conduct/organise regular internal and external audits of all key risk functions
•Ensure that each of the premises within the scope of this role has the following in place, and that they are up to date, tested and any outstanding actions are resolved within their timeframe:
oAll hazard emergency plan
oBuilding risk assessment
oBuilding fire risk assessment
•Close liaison with the key stakeholders to ensure BAU activities as well as project activities prioritise safe working and risk reduction.
•Ensure that the H&S Legal Register is maintained to ensure that organisation remains compliant with applicable legislation.
•Act as Health & Safety Advisor to the RE Health & Safety Co-ordinator
•Work with the CIB Health & Safety Manager to ensure healthy and safety competence is available at all times.
•Assist the sites you manage with information they may require for audits.
•Provide H&S advice and support to CIB employees in the absence of the H&S Manager.
•Promote a positive safety culture.
