If you have strong administration skills and are of a caring nature, this job gives you the opportunity to use these on a daily basis for a bigger purpose – to keep residents safe and happy.
You enjoy managing a varied workload and supporting people with a smile.Job Description
At Abbeyfield, we believe that great care starts with great people. We’re committed to providing the highest standards of accommodation to our residents and we’re always keen to hear from people who share our commitment to enhancing the lives of older people in the UK.
From carers to house managers, activities coordinators to cooks, plus roles in our St Albans head office, Abbeyfield has a varied range of career options available. By working at Abbeyfield you’ll be joining a charity with more than 400 houses and over 7000 residents. But we’re also developing new homes throughout the UK with state of the art facilities.
In return for your commitment, we offer a great pay and benefits package. This includes 29 days paid leave, (pro rata if part-time), including bank/public holidays, an occupational sick pay scheme, a pension scheme, plus shop and save discounts. We also offer great career prospects, from a comprehensive induction and a ‘buddy’ to get you started, to further opportunities to progress your career as a carer, through development, to gain more experience in your role.
Best of all, we’re a charity, meaning that the interests of our valued staff and residents sit at the heart of what we do, not shareholders.Description of the role
You have the important role of managing administrative systems and processes to the highest standard to help our Home Manager and the team run the home both safely and effectively.
Your day is varied and rewarding as you manage your scheduled administration duties alongside responding to ad-hoc requests from residents, visitors, care home employees and Abbeyfield employees from other locations. You maintain and manage accurate records in relation to the management of the home relating to finance, residents and employees.
As the face and voice of the home you welcome and assist visitors, residents and employees, providing a welcoming reception service both face to face and over the phone, either dealing with queries yourself, or directing them to the relevant person.
You support the employees and home by providing an office function covering responding to telephone calls, emails, faxes and correspondence, processing incoming and outgoing mail, photocopying and printing, filing and archiving, taking notes and producing minutes and responding to request for information.
To enable your colleagues to work effectively and professionally, you maintain adequate supplies of stationary, forms, promotional literature, uniforms and badges and assist with the co-ordination of repairs and maintenance.
You maintain accurate and current TV licences and records for the home and assist with the issue of licence agreements to residents.
You believe in Abbeyfield's values of Caring, Openness, Honesty and Respect and apply these in all of your dealings with residents, employees and visitors.
You are well organised and prioritise your work to ensure that you meet all scheduled deadlines and manage expectations with regard to any ad-hoc requests.
You welcome every resident, visitor and employee with a smile and respond to requests for administration support in a helpful and timely manner. All of your paperwork and correspondence is presented in a way which maintains the caring and professional image of Abbeyfield.
You understand and observe all of Abbeyfield's policies and procedures, keep all home and resident records up to date and the home secure, with the knowledge that this is to protect the residents, the company and yourself. Confidentiality and Data Protection is paramount and you apply this in all of your dealings and communications.
You care for the wellbeing of each resident and build relationships with them with the understanding that you work in their home rather than them living in your workplace. As such you are flexible as required to achieve excellence.
You personally respect the rights, differences and dignity of all of our residents and consider this within all dealings and decisions regarding each resident. You also apply this level of respect to your colleagues and visitors.
You are open and honest in your communications and strive to continuously improve whilst taking responsibility for your actions, taking part in training, attending meetings and seeking feedback.
Our Ideal Candidate
